Current Positions
CLASSIFICATION: FULL-TIME, Non-Exempt
Position Summary
Under the direct supervision of the Executive Director, the Quality Assurance Analyst will lead the quality assurance and accreditation/certification process for the Center. The Quality Assurance Analyst will work closely with staff to fulfill grant and program requirements for all Clients. Shall be responsible for the maintenance of client files, assist with client relations, track client data and assist with all Center activities for clients. The Quality Assurance Analyst will manage risk management issues by identifying, measuring and making decisions on operational risks for the Center. S/he will direct the development or implementation of compliance-related policies and procedures throughout the organization. Duties also include the billing/invoicing for Center programs, compiling of statistical information and running of monthly reports. Employee must participate in all programs as required.
MAJOR FUNCTIONAL AREAS AND DESCRIPTION OF DUTIES
Risk and Compliance Management
- Identify and analyze areas of potential risk to the earning capacity or success of the Center
- Produce reports or presentations that outline findings and explain risk positions
- Plan and contribute to development risk management systems
- Design and implement best practices to ensure that all programs meet compliance requirements
- Verify that all regulatory policies and procedures are documented, implemented and communicated
- Develops and designs custom reports, forms and surveys through the Center’s Online Data Management System (ODM)
Client Case Management
- Establishes internal control for complete and accurate recording of client information
- Responsible for the creation and tracking of client files including demographics, participation, and progress
- Accurately and consistently, in a timely manner, enters all client data into the ODM
- Responsible for quality assurance and auditing of client data and files
- Reviews and enters new client referrals and authorizations into ODM
- Responsible for the development and oversight of the Title VII-OIB Program
- Completes all consumer intakes for the Title VII-OIB Program
- Receive and return calls from new and current Title VII clients
- Continually strive to ensure the confidentiality, maintenance and security of client files and demonstrate compliance with Center policies and procedures
Billing and Statistics
- Compiles statistical reports for Rehabilitation Services to State Government, Center Board of Directors, Grants Manager and Executive Director
- Performs monthly collections from State Government and private pay clients for services rendered
- Responsible for accurately preparing and generating monthly billing/invoicing of Center programs in QuickBooks
- Runs monthly mileage/expense, instructor hours, client absences and closure form reports
General Duties
- Performs other duties as requested by the Director of Rehabilitation Services
- Fulfills duties related to Health & Safety Program as member of the Health & Safety Committee
- Manages the inventory and distribution of adaptive and low-vision aids
- Attends staff meetings and training sessions
- Maintains a safe work environment
- Serves as back up for reception when necessary
QUALIFICATIONS, ABILITIES, and PHYSICAL REQUIREMENTS
EDUCATION / CERTIFICATIONS
- Associate’s degree or two years undergraduate (minimum 64 units). Bachelor’s degree preferred
- Ability to analyze and synthesize statistical information
- High level of critical thinking and attention to detail required
- Experience with relational database design and familiarity with data management systems
- Must have excellent communication, problem solving and people/project leadership skills
- Computer proficiency and knowledge of QuickBooks a must
- Excellent verbal and written communication and interpersonal skills required
EXPERIENCE
- Must have previous demonstrated experience in implementing quality assurance policies or programs
- Experience reporting to Government and outside agencies required
- Experience working with Clients/Consumers with vision impairments and/or multiple disabilities
- Experience working with a non-profit organization preferred
PHYSICAL REQUIREMENTS
- Ability to lift 30 lbs. Overhead lift up to 20 lbs
- Sit up to 8 hours a day
- Stand up to 5 hours a day
- Must be able to reach over own head and stoop to retrieve items from ground level
Special Notations or Conditions of Employment
- Finger printing, criminal and job related background check required
- Current certification is required for First AID and CPR
- This position may require occasional travel between Center and remote service delivery locations. Valid driver’s license or access to reliable source of transportation required. Proof of auto insurance with minimum coverage of 100,000/300,000 may be requested.
